Hello all.

As you may know the AGM is scheduled for Sunday 15th of April- 11am start.
As you may also know, the proposed merging of the two clubs is on the agenda, and will need to be decided upon at the AGM.
We are aware that this is a complex issue, which people have raised some reasonable concerns over.
So in the interest of transparency and proper consultation with our members the committee has decided to hold a forum style discussion in which CWC members are welcome to put forward their opinions on this matter.
Help us out by sharing your opinion, and remember to keep it constructive.

When - Sunday 8th April - 11am start. Structured discussion, which shall be as brief as possible so we can all get back to gaming.

Why - The purpose of this is to get as much of the discussion relating to merger, and peoples concerns, resolved prior to the AGM, so that on the day the AGM can run smoothly.
It will also let the committee put forward any potential solutions/workarounds to these concerns.

How - Members can submit things prior to this forum, either by private message, or by commenting. The committee will organise these into structured talking points to be presented on the day (sunday 8th). On the day it will also be possible to bring up other issues that you believe aren't covered.

Please take this seriously and give it some thought, because at the end of the process we have to make a decision one way or the other, and we want it to be the best choice for the future of our community.

Points that will be discussed at open forum by Committee:
1. Table and room space allocation for gaming systems. Ensuring all gaming systems get space to play.
Purposed solutions:
- Limited space for gaming systems in the first one and a half hours of the club opening Thursday nights and Sunday mornings Or using a table limit instead of area.
- Map of top west to be drawn up and table layout to be worked out. Guide lines to be produced for members when setting up tables to maximize table and space utilization.
- Officer of the day will have complete discretion to allocate space (if any issues with space should occur).

2. More details on proposed merger and better communication with members (CWC and Cav's)
Purposed solutions:
- Pre AGM open forum meeting

3. Ensuring that all gaming systems, no matter their player base size, is given equal representation within the club and has a clear line of communication to the committee.
Purposed solution:
- Game system representatives to be established who met regularly with committee.

4. Rules for becoming a Member and meeting membership requirements is enforced better?
Purposed solution:
- Each member when attending the club will be required to wear a name tag (provided by the CWC club).
- The membership form will be modified to include Woolston workingmen club member card number.
- Officer of the day will wear a special badge / identification so members can approach this person if they have any concerns in regard to other members attending the club. Members are not to
approach other people at the club that they have concerns with, but take it to the officer of the day.

5. Brief overview of discussions with Woolston Workingmen club in regard to proposed merger.
- Vincent will give a quick update on this.

6. Terran storage and maintenance.
Purposed solution:
- Continue work on sorting main terrain room (extra shelving to be installed)
- Look at utilization of Cav's terrain trolley
- Clean out second terrain room
- Audit of Cav's / CWC terrain and possibly look to store some terrain off site and use when needed (tournaments).
- Also to make sure that ALL gaming systems are allocated readily available terrain space.
- Continue regular Terrain repair days

7. Purposed Constitution changes
- table / space allocations (point 1)
- allocated terrain space / storage (point 6)
- Game system representatives added(point 3)
- Junior / general committee member removed
- Event coordinator role added to committee
- Social and Digital media coordinator added to committee

8. If merger is accepted, a follow up open forum meeting will be held 3 to 6 months after to review merger. Concerns to be raised and discussed.
